Record Emails to Aptean CRM

When you open an email item, the Mail ribbon includes the Aptean CRM option under the Apps menu.

When you click it, a CRM activity record opens with an exact copy of your email. Aptean CRM searches for a match on the email address(es) in your email. If a match is found, the Activity record is connected to the correct Contact/Company record in Aptean CRM. You can save and close the Activity record to log it in Aptean CRM.

If a match is not found you can create a new Contact, or search for an existing Contact.

If multiple matches are found, you will be prompted to select the correct Contact.

If there are attachments or files, you can choose which ones to add to the CRM.

Send Calendar Events to Aptean CRM

Create a new Outlook calendar event, or open an existing one to edit it, and then click the Aptean CRM button.

A CRM activity record opens with an exact copy of your event (including any notes and attachments). Aptean CRM searches for a match on the email address(es) in your event. If a match is found, the Activity record is connected to the correct Contact/Company record in Aptean CRM. You can save and close the Activity record to log it in Aptean CRM.

Prompt To Record On Send

If the "Should Prompt To Record On Send" option is enabled in the Outlook Addin Settings under Group Configurations, a prompt will appear whenever you send a new email or calendar event.

The prompt asks whether you want to record the item to Aptean CRM.

• Send Anyway: Send the email or calendar event without recording it to Aptean CRM.

• Yes: Record it to Aptean CRM.

• Don't Send: Cancel the send action and does not record the item to Aptean CRM.
